This is a template drafted for a UK travel agency acting as an agent. Replace every highlighted placeholder, and have a solicitor or your trade association check it against the Package Travel and Linked Travel Arrangements Regulations 2018 and your ATOL or bonding position before publishing it as your live terms.
1. About us
These terms apply to all bookings made with Trip World Ltd, a company registered in England and Wales under company number [company number], whose office is at 48 Parkwood Court, Parkwood Rise, Keighley, BD21 4RE. In these terms, "we", "us" and "our" mean Trip World Ltd, and "you" means the person making the booking and everyone travelling on it.

2. Our role as agent
We act as an agent for the airlines, hotels, tour operators, cruise lines, transfer companies and other suppliers who actually provide your travel. Your contract for the travel itself is with those suppliers, and it is governed by their own booking conditions, which may limit or exclude their liability to you. We will make their conditions available to you on request before you book.
Where we put together a combination of services that amounts to a package or a linked travel arrangement under the Package Travel and Linked Travel Arrangements Regulations 2018, we will tell you in writing before you book, and we will confirm who is acting as organiser and what financial protection applies.
3. Financial protection
Flights and air holiday packages sold in the UK may be protected by the Civil Aviation Authority's ATOL scheme. 4. Making a booking
The person making the booking must be at least 18 years old and confirms that they are authorised to accept these terms on behalf of everyone in the party. A booking is only confirmed once we have issued a written confirmation or invoice and the supplier has accepted it. Prices, availability and taxes are not guaranteed until that point.
You must check your confirmation, tickets and all other documents as soon as you receive them and tell us immediately of any error. Names must exactly match the passport of each traveller. Airlines and cruise lines usually treat a name change as a cancellation and rebooking, and the cost of correcting a name given to us incorrectly will be passed on to you.
5. Prices and payment
Prices are quoted in pounds sterling unless we state otherwise. Deposits and balance due dates are shown on your invoice. Flight tickets normally require payment in full at the time of booking, and many fares must be issued the same day.
If a balance is not paid by the due date, the supplier may cancel the booking and apply its cancellation charges, for which you remain responsible. Where we charge a service or booking fee for arranging your travel, we will tell you the amount before you pay, and that fee is non-refundable once the booking is made.
Prices may change before booking because of changes in airfares, taxes, fuel surcharges or exchange rates. After booking, any price changes are governed by the supplier's conditions.
6. Changes and cancellations by you
If you want to change or cancel a booking, tell us in writing as soon as possible. Changes and cancellations are subject to the supplier's conditions. Many airline tickets, Umrah packages, hotel rates and cruise fares are non-refundable or carry substantial charges, and charges can reach 100% of the price. Any administration fee we charge for processing a change or cancellation is in addition to the supplier's charges and will be made clear to you.
Where a refund is due from a supplier, we will pass it on to you once we have received it. Airline refunds in particular can take several weeks or months to process, and we cannot pay a refund before it reaches us.
7. Changes and cancellations by the supplier
Suppliers sometimes change flight times, aircraft, hotels, itineraries or cruise ports. We will pass on any changes as soon as we are told about them. Your rights in that situation, including any right to a refund or alternative arrangements, are those set out in the supplier's conditions and in applicable law, such as UK261 for eligible flights. As your agent we will help you make a claim, but we are not liable for a supplier's decisions.
8. Passports, visas and health requirements
It is your responsibility to hold a valid passport with sufficient remaining validity, the correct visas and permits, and any vaccinations or health documents required for your journey. Requirements differ by nationality and can change at short notice. We will give general guidance where we can, and for Umrah travel we will tell you what the operator requires, but we cannot accept responsibility if you are refused boarding or entry because your documents are not in order. No refund will be due in that situation.

9. Travel insurance
We strongly recommend that everyone travelling holds adequate travel insurance covering medical costs, repatriation, cancellation and baggage from the date of booking. Some suppliers and destinations require it as a condition of travel. If you decline insurance, you accept responsibility for any loss you would otherwise have been able to claim.
10. Check-in and travel documents
You are responsible for arriving at the airport, port or hotel in good time and for meeting check-in deadlines. We are not liable for missed departures, missed connections or delays caused by your own travel arrangements to the point of departure.
11. Our liability
We accept responsibility for arranging your booking with reasonable skill and care. We are not liable for the acts, omissions or failures of suppliers, or for events outside our reasonable control, including weather, natural disasters, industrial action, airline or supplier insolvency, war, civil unrest, terrorism, epidemic, government action or border closures.
Where we are liable, our liability to you is limited to the amount of the service fee or commission we received for arranging the booking, except where the law does not allow such a limit. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded. Your statutory rights as a consumer are not affected.
12. Complaints
If something goes wrong while you are travelling, tell the supplier's representative on the spot and let us know as soon as you can, so that we have the chance to help resolve it. If the matter is not settled, write to us at info@tripsportalltd.com within 28 days of your return, quoting your booking reference. We aim to acknowledge complaints within [7] working days and to respond fully within [28] days.
13. Data protection
We handle your personal data in accordance with our privacy policy, which forms part of these terms.
14. Website content
The content of this website is provided for general information. Prices, offers and availability shown here are indicative and do not amount to an offer capable of acceptance. We take care to keep the site accurate but cannot guarantee that it is free from error, and we may change it at any time.
15. Governing law
These terms and any dispute arising from them are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you live in Scotland or Northern Ireland, you may bring proceedings in your own country's courts.
